Leading Global IT outsourcing firm requires Project Co-ordinator's with a passion for service delivery. We are always on the look-out for talent in this field and welcome applications from exceptional candidates.
The Project co-ordinator is employed to ensure that the plan designed by the project manager or stage manager and agreed by the customer is implemented as agreed and that any variations are notified to the project manager or stage manager as soon as possible. The project co-ordinator engages resources as defined in the project plan, chases progress against milestone dates and acts as the librarian for the project.
The project co-ordinator may be a member of more than one project team concurrently. Accuracy and attention to detail are important attributes.
Possible Duties and Responsibilities:
• Organise and minute meetings as required
• Co-ordinate travel and accommodation arrangements for the project team as directed by the project manager
• Act as a first point of contact for the project team, in accordance with Project Guidelines
• Buddying new Project co-ordinators and Administrators
• Manage the induction process for new members of the project
• Arranging disposals
• Maintain Project Files
• Produce and distribute documentation on behalf of the project manager.
• Keep the project diary updated
• Ensure that all project documentation is correctly filed (including central Document Library)
• Weekly Highlight report to team leader, and adhere to all department admin.
Scheduling
• Contact users to agree arrangements or capture information
• Administer training schedule
• Book resource against a pre-defined schedule
• Ensure that project personnel are on site at the right time
• Ensure that all project equipment is at the pre-defined place on time
• Manage the configuration and change control of all project products
• Own and implement Communications Plan
• Maintain all project logs (risk, issue, etc)
Progress / Cost Monitoring and Reporting
• Gather and log timesheets and invoices for the project.
• Monitor all expenditure against budgets
• Attend project review meetings
• Check progress against agreed targets
• Collate information for highlight and other project reports
• Capture and record auditing and assetting data
Typical assignments:
• Working as part of a project team to deliver overall Project Co-ordination.
• Support the project manager in the commercial control of the project
• Maintain a suitable level of quality at a cost predefined by the customer and project manager
Essential Skills/Attributes
• Very good working knowledge of Microsoft Windows 95 or 98, Office 97 and proven experience using an email package
• Able to arrive at any customer site at a given time defined by the Project Manager or Team Leader
• At least 1 years previous experience in an administration role
• Suitable corporate attire with excellent communication skills
• Must be very organised and able to ‘multi task’
Ideal Skills/Attributes (not essential, but would like)
• Previous experience working in an IT environment
• Previous experience as a Project Co-ordinator, preferably in a ‘customer facing’ role
